The Natural Resource Governance Institute seeks a country program assistant to assist with programmatic needs in the Democratic Republic of Congo (DRC). Under the supervision of the country manager, the program assistant will provide operational and administrative assistance to the Program Leader and Program Staff, performs a variety of administrative, coordination and logistical services in support of the operations of the Program, and assists with information management the team.
Responsibilities
Programming
- Assist the Country Manager with country related programs; narrative reporting and reviewing quarterly working plans.
- Maintains a tracking system of responses to reporting and other internal work requirement.
- Attend in country meetings organize by various stakeholders, as needed, and take notes and draft reports of meetings.
- Help with the draft of dockets and follow up partner’s narratives and financial reports.
- Eventually conduct basis analysis to feed further researchers.
- Performs other related duties in accordance with instructions from country manager and team members.
- Act as communications focal person for DRC team. Coordinating communications outputs including interviews, blogs and op-eds from NRGI funded or participating activities.
- Acts as the main contact person during the absence of the country manager.
- Follow-up on any emergencies with appropriate in-house staff.
Workshops and Events
- Coordinate logistical arrangements for workshops that take place in the country.
- Conduct research on venues and service providers and make necessary arrangement; liaise with management on planning and agenda issues, handle all travel, hotel and other logistical issues related to meetings; collect invoices and follow up with financial staff for payments.
- Liaises with country manager and assists project recipients and consultants as required to ensure smooth functioning of activities.
- Prepares training kits or information packages and sends material to participants in a timely manner.
Human Resources and Financial Management
- Ensure the maintenance of a working environment that yields productivity and furnishes essential office supplies, in coordination with the host organization.
- Liaise with the host organization to support financial management, including managing and maintaining accounts and files.
Support to NRGI country team
- General administrative support as required
- Assist with scheduling travel and visas in coordination with the host organization, and NRGI partners.
- Provide orientation to visiting staff and partners in the country and city facilities.
- Assist with scheduling meetings and conference calls.
Requirements
- Minimum of three years’ experience in a professional program and administrative management.
- Bachelor’s degree or equivalent in development studies, economics, law, political science or public administration.
- Strong skills in Microsoft Word, Excel and PowerPoint, knowledge of Access or other software a plus.
- Excellent English and French skills.
- Experience working and interacting with international personnel is a plus.
- Ability to effectively manage multiple task in a fast-paced environment, and prioritize appropriately.
- Excellent organizational skills and strong attention to detail.
- Ability to work both independently and collaborate with others.
- Integrity, professional discretion, and ability to handle confidential matters.
- Fluency in English and French is essential.
Location: The role is based in Kinshasa, DRC. Candidates must possess the right to work in the Democratic Republic of Congo.
